API Integration Statement of Work Template
An integration SOW that names systems, objects, directions and sync frequency, so connecting two platforms does not expand into connecting every platform the client owns.

Software development · Exclusion rule
Systems and objects not in the mapping table.
Ambiguity fix
Integrate the platform with Salesforce.
Sync the 4 objects and 85 fields in Appendix A between the platform and Salesforce Sales Cloud at 5-minute intervals.
Best for
Engineering agencies connecting a client's product or back office to a CRM, ERP, payment provider or partner API.
Integrations are scoped in one sentence and delivered in a hundred decisions. Which objects? Which fields? One way or two? What happens when a record fails? Each unanswered question is a future change order that feels like an argument. This template turns the integration into a mapping table: systems, objects, fields, direction, frequency and error handling, plus an explicit rule for vendor API changes.
Copy any clause block below into your own SOW. Numbers, appendix names and tools are placeholders drawn from a typical engagement, so replace them with the counts from your proposal. Every clause is written to be read by a client, not used against one.
Deliverables
Count everything. A deliverable a client cannot count is a deliverable a client can expand.
- 2.1A middleware service on the client's AWS account syncing the 4 objects in the mapping table (Appendix A) between the client's platform and Salesforce Sales Cloud.
- 2.2Field mappings for up to 85 fields across those objects, with transformations documented in Appendix A.
- 2.3Bidirectional sync for Accounts and Contacts, one-way sync to Salesforce for Orders and Invoices, at 5-minute intervals.
- 2.4Error handling: retries with exponential backoff, a dead-letter queue and a daily error digest emailed to the client's admin.
- 2.5A one-time historical backfill of up to 250,000 records.
- 2.6Monitoring dashboard, alert rules and an operations runbook.
Exclusions (out of scope)
Name what the engagement does not include. These are the lines your PMs will cite most often.
- 3.1Systems and objects not in the mapping table.
- 3.2Salesforce configuration beyond creating the custom fields listed in Appendix A, including flows, Apex and page layouts.
- 3.3Real-time (sub-minute) sync and event streaming.
- 3.4Data cleanup, deduplication and merge rules in either system.
- 3.5Changes required by vendor API version deprecations announced after signature.
- 3.6Middleware hosting costs and vendor API usage fees.
Revision limits
The mapping table includes one revision round after the technical design review. After sign-off, each added or changed field mapping is estimated individually under Change Control.
Acceptance criteria
Acceptance needs a measurable test and a window. Without both, delivery never formally ends.
- 5.1A test set of 200 records per object syncs correctly in each supported direction on staging.
- 5.2Failed records appear in the dead-letter queue and the daily digest with a readable reason.
- 5.3The backfill completes with a reconciliation report showing counts per object in both systems.
Client assumptions & dependencies
Tie each dependency to a date so a late input has a known effect on the schedule.
- 6.1The client provides sandbox and production credentials with sufficient API limits for 5-minute sync.
- 6.2Source data uses stable unique identifiers that can act as external IDs.
- 6.3A Salesforce administrator on the client side is available for field creation approvals.
- 6.4Vendor APIs behave as documented at signature.
Change control
Any new system, object, field, sync direction or frequency, and any work caused by a vendor API change, is a change. The agency documents the request against the mapping table, estimates hours and cost, and notes any schedule effect within two business days. Work begins after written approval.
These clauses are drafting guidance written from agency delivery practice. They are not legal advice. Agencies should have final MSAs and SOWs reviewed by counsel, especially for liability, IP, payment and termination terms, which this template does not cover.
Ambiguity check
The phrases that turn into free work, and what to write instead.
These are the vague lines we see most often in software development SOWs. Each one sounds reasonable at signature and becomes a dispute three months later.
Before
Integrate the platform with Salesforce.
Safer rewrite
Sync the 4 objects and 85 fields in Appendix A between the platform and Salesforce Sales Cloud at 5-minute intervals.
Why it matters: "Integrate" covers everything from a webhook to a data warehouse.
How to adapt it
7 steps from template to signed SOW.
A template saves drafting time. The protection comes from replacing every placeholder with the real counts, names and dates from your engagement.
- 1
Read the API Integration SOW end to end and mark every number, appendix and named tool that does not match your engagement.
- 2
Build the mapping table with the client before quoting, field by field.
- 3
Decide the system of record for each object and write it down.
- 4
Check vendor API rate limits against the sync interval you are promising.
- 5
Add the vendor change rule even if it feels unlikely. It is the clause you will cite most.
- 6
Run the ambiguity check: search your draft for words like all, any, ongoing, as needed, unlimited and timely, and replace each one with a count, a list or a date.
- 7
Have your counsel review the final MSA and SOW before signature, then load the signed SOW into TWINJAM so every request is checked against it.
